1. Information stored on your device
ICE Hub stores favorites, recent searches, interface settings, catalog cache, document previews and downloaded documents in the app's local storage. Personal conference records may include poster photos, thumbnails, recognized poster text, the associated conference, text notes, audio recordings, transcripts and your edits.
These personal conference records are not automatically uploaded to an ICE application backend or shared company library. No account registration is required. The native app does not integrate advertising SDKs, advertising-identifier collection, cross-app tracking code or a user-profile service. Websites and network services opened through the app may process connection information as described below.
2. Online resources and service providers
ICE Hub connects to the internet to retrieve the resource catalog, images, documents and webpages. The catalog is delivered through a third-party hosting service. Official scientific content is principally served by en.ice-biosci.com. Conference-organizer links and other external links may lead to separately operated websites.
When a request is made, the receiving website and its hosting or delivery providers receive ordinary connection information, such as your IP address, request time, requested address and browser or client information. These services may retain connection records to operate the service, resolve faults or protect security; their practices and retention arrangements can differ. Contact us for information about the catalog and official-content services relevant to your visit.
The in-app reader loads original webpages and focuses their visual presentation on the main content. It does not block all webpage scripts, cookies or additional requests. Webpages may load their own services or process connection and session information. The reader uses a non-persistent WebKit data store; this does not mean that no information is processed during a visit or retained by a website. Separately operated websites and destinations apply their own privacy information and controls.
The first release does not automatically send your local conference photos, OCR text or notes to the catalog or scientific-content hosting services. User-initiated Apple speech recognition and sharing have separate processing boundaries, explained below.
3. Poster OCR and voice transcription
Poster text recognition uses Apple Vision on your device. ICE Hub saves the full recognized text for searching and does not send poster images or OCR text to an external AI or OCR service.
Voice notes are recorded only when you start a recording. On supported devices running iOS or iPadOS 26 or later, ICE Hub prefers Apple's on-device transcription; the system may need to download language-model assets. A compatible Apple speech-recognition path requires on-device recognition when supported. If on-device recognition is unavailable, including after a compatibility fallback, a transcription request may send the selected recording to Apple's speech service and require a network connection. Transcription is therefore not guaranteed to be offline on every device or in every language.
You can choose not to record or transcribe, revoke microphone or speech-recognition permission in system Settings, keep audio when transcription fails, edit a transcript, or remove audio while retaining the note. Apple's processing is governed by Apple's privacy information and your system settings.
4. Permissions and your choices
- Camera: requested when you choose to take a poster photo. The result is saved in ICE Hub, not automatically added to your personal Photos library.
- Photos: the system photo picker imports only the item you select. ICE Hub does not delete the original item in your Photos library.
- Microphone and speech recognition: used for the recording and transcription functions you initiate, not for background listening. Denying them does not prevent resource browsing or text notes.
- Calendar: Add to Apple Calendar presents Apple's event editor for you to review and confirm. ICE Hub does not read or enumerate your calendars, check for duplicates, or silently save events.
5. Retention, backups and deletion
Local records remain until you remove them, delete the app and its data, or the system clears applicable caches. You can remove favorites, downloaded documents, captures and notes through their relevant controls. Deleting a capture removes ICE Hub's photo copy and text index, not your original Photos-library item. Removing note audio can preserve the note text and transcript.
The first release has no company-cloud restore or automatic cross-device synchronization for these records. The Event Notes directory is marked to be excluded from system backups. Other app data, including captures, may enter iCloud or computer backups according to your device settings and system behavior. System backups are separate from an app-operated upload. Copies already in backups or a sharing destination must be managed in those systems.
Information that you send to us for support is handled for responding to your request and resolving the issue. Retention is assessed according to the request's purpose, any continuing security or dispute-handling need, and applicable legal requirements, rather than an indefinite period. You may contact us to ask about the applicable retention arrangement or request deletion. Network-service records can be retained separately by the relevant website or delivery provider; contact us about the catalog and official-content services, or consult the separately operated website's privacy information.
Before deleting the app or changing devices, share or export important records. Changing the interface language does not translate or delete your records or website materials. We cannot remotely recover records that remain only in your app.
6. Sharing and contacting support
When you choose Share, ICE Hub passes the selected content to the destination you choose in the system share sheet. That destination applies its own access, storage and privacy rules. Obtain the necessary authority and permission before photographing, recording or sharing another person's information, confidential scientific work or restricted conference materials.
If you email omkt@ice-biosci.com, we receive your email address, message and any attachments you choose to send. Provide only what is necessary to resolve your request. Do not send passwords, access tokens, patient information, private recordings or confidential documents. Support does not automatically receive your local notes or poster photos.
7. Privacy requests and security
For questions or requests about personal information the company actually holds, contact omkt@ice-biosci.com. Subject to applicable law, you may request access, correction, deletion or information about processing, retention and relevant service providers. We may ask for information reasonably necessary to identify and handle your request. Local records that you have never shared with us cannot be retrieved or deleted remotely by us; use the app and system controls for those records.
ICE Hub uses the operating system's app sandbox and HTTPS for its configured resource catalog and scientific-resource requests. Your device security, system backups and chosen external services also affect information protection. No security measure can guarantee absolute protection.
8. Intended audience and policy changes
ICE Hub is intended for professional scientific reference and conference work, not as a child-directed service. It is not a medical device and does not provide patient-specific diagnosis or treatment advice. Scientific materials may discuss diseases, medicines and preclinical research.
This policy takes effect on October 23, 2026. We will update the policy and its date if information-handling practices change. Material changes, such as adding accounts, cloud uploads or new data-processing services, will be explained through an appropriate notice and any choices required by applicable law.
